WHAT IS OFFICE 365 AND WHOM IS IT SUITABLE?

Office 365 is substantially more than just the already familiar Office applications for PC and Mac (Word, Excel, PowerPoint, Outlook) - it is a comprehensive office solution as a cloud service.

Licensing is user based and one user license will cover up to five devices (PC and Mac), in addition to the tablets and smart phones.

ANNUAL SUBSCRIPTION FROM A LOCAL RETAILER

It is a cloud service order which requires a payment for a whole year in advance. It is well suited for enterprises, where the number of employees is stable, or rather growing.

WITH THE ANNUAL ORDER THE FOLLOWING CIRCUMSTANCES MUST BE ACCOUNTED:

  • The whole year shall be paid in advance

  • In case of an additional order, the length of the whole contract will change (within the one service)

  • The number of licenses can be reduced only after a year.

  • The execution of the order takes 1-2 working days.

  • The activated service can not be returned or exchanged against any other services

  • A variety of services may be combined as necessary

  • The same distributor can assist in the activation of the services and in the transfer of the data (migration)

  • The choice of services may be limited

  • The support is in English (on weekdays) or under an agreement carried out by the distributor (generally for an additional fee)

Microsoft allows you to purchase cloud services directly from their website and this without the involvement of the local dealer.

WHEN SUBSCRIBING ON THE MICROSOFT WEBSITE,
THE FOLLOWING SHOULD BE CONSIDERED:

  • The subscription services shall be effective immediately

  • Services may be paid either by credit card, or with an invoice (invoice submitted by Microsoft Ireland Operations, that is the company in Ireland). In case of payment by invoice, additional costs must be taken into account

  • The subscription services shall be effective immediately

  • In the case of the annual subscription, the opportunities for changes are limited

  • If the annual subscription will be terminated, contractual penalties may occur (to the extent of one monthly payment)

  • Setup must be carried out by yourself or a service can be ordered from the local reseller

  • Limited English support by phone 24h a day

MONTHLY SUBSCRIPTION THROUGH A LOCAL EXPERT

The most flexible way to acquire cloud services. You only pay for what you actually have used last month, perhaps similar to the use of telephone or electricity.

BY SUBSCRIBING TO OFFICE 365 LICENSES ON A MONTHLY BASIS YOU CAN CONSIDER THE FOLLOWING:

I DO NOT USE AND DO NOT WANT TO TAKE CLOUD SERVICES INTO USE!

Actually we are using various cloud services for a long time already, such as mailboxes (Gmail, Yahoo!, hot.ee, etc.), social networks (Facebook, Instagram, suhtlus.ee) and file storage solutions (Dropbox, Google Drive), etc.

THE DATA MAY BE LOST IN THE CLOUD

Over half of the companies do not make important data backups nowadays. The Microsoft cloud data is backed up, and they are available to the customer at any time, regardless of the location.

CLOUD SERVICES ARE NOT SECURE

Behind the cloud services there is actually premium hardware located in well secured environments, and managed by qualified professionals. The security and the quality of Microsoft cloud services matches ISO as well as other internationally recognized standards, which has also been approved by independent auditors. THE CLOUD SERVICE PROVIDER COULD ABUSE MY DATA OR EXPLOIT IT IN A WAY (TO SEND ADS, ETC.)

The data stored into Microsoft cloud belongs only to the customer. The client has the right to download and delete the data, the client always knows accurately the location of the data, and who and under which conditions can access the data on behalf of Microsoft Access.

WHAT IF THE INTERNET OR ELECTRICITY IS LOST – HOW CAN THE DATA BE ACCESSED?

Internet access is everywhere and available from a variety of sources (cable, mobile internet). The cloud services are also available in smart devices, which run autonomously for quite a long time. For example: if a local mail server is useless due to lack of electricity or internet, then you can read and send your email even from outside your office using a cloud service. If the cloud service is however not available, then the files are retained on the computer (offline). In addition, the Office application software runs independently without the need for internet.

MY OLD APPLICATIONS WILL NOT WORK IN THE NEW ENVIRONMENT

Yes, it is true that some of the older applications are not compatible with new technologies. But Microsoft's flexible packages and single services allow to start the cloud services step by step, to introduce the services that do not restrict the use of the old applications. At the same time, old applications are often interchangeable with new ones, which already are included in the Office 365 service packages.

OUR IT DEPARTMENT CAN COPE WITH OUR EXISTING INFRASTRUCTURE

The in-house IT department takes a lot of human resources, is quite costly, and does not allow to focus on the main business. The introduction of cloud services releases the IT human resource, allowing them mainly to focus on the promotion of company's business goals instead of "fire extinguishing". The risks increase with ageing hardware and software.

TRANSITION TO CLOUD SERVICES IS AN EXPENSIVE ENDEAVOR

Certain costs must definitely be taken into account when switching to cloud services. However, these costs are non-recurrent and should be done even if you upgrade the in-house infrastructure.
